Optimize the Workflow

A crucial part of the development process is figuring out HOW it's all going to get accomplished ...

Transform data into actionable insights

We have been talking about the data analysis and presentation development work processes necessary to transform data into actionable insights… and how important it is to:

  • Define WHO is going to do what (Roles and Responsibilities) and…
  • WHAT they are going to do (Best Practices).

Another crucial part of the process is to figure out HOW it’s all going to get accomplished -- and this requires a serious commitment to optimizing the way the work gets done. Let’s look at a few ways to optimize just one task in the data analysis and presentation development workflow… Data Acquisition.

1 - Prioritize data sources by selecting those that will have the greatest impact on retailer decision-making
Manufacturers that are category captains may already be getting retailer POS data for planogramming and category management activities. Couple this with syndicated consumer and scan data to give strong retailers the ability to execute at store level.

2 - Design a manageable data flow schematic
For frequently updated data sources such as POS and syndicated data, identify how it will be delivered from the source. Direct transmissions of weekly or monthly extracts are the most efficient way to deliver the data. Also, make sure presentation developers are notified when new data becomes available.

3 - Eliminate redundant tasks from the data collection and updating process
Delivering data that your people don’t need or having many people pull the same data over and over again is inefficient and costly. Optimize these tasks by centralizing data collection and data maintenance activities, and delivering “slices” or “cubes” of data to remote end-users that contain just what they need and nothing more.

4 – Identify workflow bottlenecks
One common bottleneck is the lengthy process involved to integrate new items into your databases with the correct hierarchy, segmentation, and masking properties. Clear the bottleneck with step-by-step guidelines, automation, and better data knowledge.

5 - Automate repetitive tasks that do not need hands-on management
Automate lengthy and repetitive tasks such as loading data sources, appending or updating the latest data, or integrating new data sources. Automation allows for unattended processing and it can be scheduled to run on non-peak hours to minimize network traffic.
